Purpose Responsible for performing a variety of general administrative and office operations support activities. This role combines office administration, document management, customer coordination, and materials estimating to develop accurate material lists and cost estimates used for bidding, project planning, and operational decision-making. Essential Duties and Responsibilities Receives and reviews information from sales representatives, project managers, or customers to ensure all required documentation and details are complete and accurate. Reviews documents, drawings, selection sheets, and administrative records to identify discrepancies, missing information, or errors and coordinates resolutions with internal teams or customers. Maintains and updates records, pricing information, and supporting documentation in internal systems and databases. Utilizes company software systems and Microsoft Office applications to input data, prepare reports, track information, and support administrative processes. Assists the sales and project teams by providing administrative support related to materials information, availability, substitutions, and general inquiries. Organizes and maintains files, forms, and electronic records to ensure information is current, accurate, and easily accessible. Supports management by compiling data and preparing administrative reports used for bids, vendor coordination, project tracking, and operational review. Communicates with clients, vendors, and internal staff to obtain or clarify information and resolve administrative issues in a timely and professional manner. Identifies opportunities to improve office procedures, organization, and workflow efficiency. Performs additional administrative duties as assigned. SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities. MINIMUM REQUIREMENTS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. High school diploma or General Education Degree (GED) and one (1) year administrative or related experience; or an equivalent combination of education and experience. COMPETENCIES Customer service skills Good verbal and written communication skills Ability to apply common sense understanding to carry out written or oral instructions Proficiency in Microsoft Office Suite WORK ENVIRONMENT / PHYSICAL ACTIVITY The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
